Kanban For Projects

Workzone’s Kanban view provides a more visual, intuitive way to track tasks across a variety of workflows. Using the powerful Stage field provide a flexible means to manage tasks across projects. With it's intuitive approach to tracking progress, Kanban in Workzone helps teams stay organized and aligned at every stage of their work.

Accessing Kanban View

To access the Kanban view of Projects, from the main Projects area, select the Kanban button found near the top right corner of the main view, just to the right of the List and Gantt views, as shown here:

Clicking a task's card will show the task's Details Tray. Icons displayed on task cards represent different task details.

These can include dates, attachments, % complete, priority, description, duration, work, and notes. Hovering the cursor over an icon will show more information. The fields displayed on cards can be configured to display in the Fields to Display settings, globally or individually.

Clicking the project name on a task's card applies a filter for that project.

NOTE: The Kanban view is subjected to the same Filter options as the List and Gantt views.

Setting Stages

Stage is the field in the List and Gantt views of the Projects area that represents the corresponding Kanban view column. These different stages for tasks can be used to move them from one column to another via drag and drop. Workzone provides the following stages by default:

  • To-Do
  • In Progress
  • Completed

However, Administrators can configure stages that work best for the team.

NOTE: Stages are configured globally. The same stages will appear for all projects across all workspaces.

Administrators can click the settings (gear icon) in the top right corner when viewing All Workspaces and select Kanban stages in the Projects section on the left side, as shown here:

Click Add another stage to enter a name for a new stage. Use the "X" icon on the right to remove a stage and click in the field for the stage's name to change the name. To reorder existing stages, drag and drop the double arrow icon to the left of each stage.

NOTE: The Completed stage is tied to the status of tasks and cannot be renamed or removed.

The Default Stage for New Tasks dropdown option defines which stage should be applied to every newly created task. If this setting is set to None (which is the initial default), newly created tasks will have no stage assigned. The Apply this stage to all tasks with no stage option, which only displays when making a change to the Default Stage for New Tasks dropdown, applies the newly selected default stage to all existing tasks that do not yet have a stage assigned.

Using Stages

In Kanban view, stages are used by dragging and dropping the task's card representing a task from one column to another, as shown here:

To use stages in other Projects views like List or Gantt, enable the Stage column to show, following the steps to Hide/Display columns. Bulk assigning stages to tasks is also possible using the steps to Edit Multiple Tasks At Once.

Tasks without a stage appear in an Unassigned column when viewing the Kanban view of Projects. Those task cards can be dragged to a stage's column, which assigns that respective stage.

Moving a task's card to the Completed stage is the same as marking the task complete in other views.

Reports

There are three Kanban related reports, found in the main Reports area under the Kanban section on the left, as shown here:


Card status - This report shows, list by list, which cards are on track or overdue based on the end date of the task, as compared to today’s date.

Aging summary - This report shows the average number of days cards assigned to a user have been in the stage.

Completed cards - This report shows how many tasks have been completed within the last 7 days, 30 days, or year user by user.
