Non-User Responsible Parties (Resources)

In the main Projects area, the Responsible field automatically shows the selection of all existing users with access to a workspace (and project).

Managers and Administrators can add or edit additional responsible parties to assign responsiblity to a non-user (such as “Printer”).

NOTE: The non-user does not have access to tasks or any other aspect of Workzone.

Creating Resources

Select All Workspaces from the workspace drop-down in the top left. Click the settings (gear icon) in the top right. Under the Global section on the left menu, click the Resources link. To add a new (non-user) resource (responsible party), type the name or label in the Name box and click the Add Resource button.

Resources will show up in Projects and Reports in brackets — "[ABC Printer]", for example — to indicate to you that they are not actual users in the system and that a real user will need to update any tasks assigned to the resource.

Reassigning Resources

Often, a user is intended to replace the responsibility currently assigned to a resource, particularly on some projects where the template has a resource assigned initially. In these scenarios, Workzone has a streamlined process for reassigning all of the responsibilities of one or more resources in a given project. To start this process, in the main projects area, a Manager or Administrator user can click the three vertical dots to the left of a project name and choose Assign resources from the dropdown list that appears:

In the resulting overlay, Workzone will show any of the Responsible resources currently assigned throughout the project, and a box on the right for each allows selecting one or more users or a group to replace that resource everywhere that resource is assigned in the project:

NOTE: For large numbers of reassingments, Workzone may display a loading page when an extended period of time is needed to complete process.
