Project Templates

Project templates are an extremely useful way to quickly recreate projects, especially those that automatically repeat. Templates can be used to create a new project or insert tasks into an existing project. When an existing template is reused, its tasks and associated fields (duration, category, etc.) will be copied into the indicated project.

Creating Projects from Workzone's Pre-Built Templates

Workzone has hundreds of pre-built, industry-specific templates available to help teams get started with new projects. These templates represent common workflows for a variety of teams, and new templates that serve new industries and departments are being added all the time.

To create a new project from a pre-built template, click the blue Add Project button at the top of the Projects module and select the second project creation option, Use pre-built Workzone templates.

There, select your organization's industry (or choose "Generic" to see industry-agnostic templates) and select your team's department. As the industry and department values are selected the "Select template" dropdown menu will automatically update to display only the templates relevant to those selections. When a specific template is selected from that dropdown, a brief description of the template will appear to provide a deeper understanding of the details of that template.

Simply select the desired template, and choose to deploy it from a start date or end date, or choose to deploy it with no dates, and click Save and add tasks to create a new project from that template. One the project is created, it can be modified just like any other project. It can also be saved as a new custom template, making it possible to save your modifications as a template specifically designed to suit your team's workflows.


Creating New Custom Templates

Administrators and Managers, unless disabled, can access and edit existing Project templates under the 3 vertical dots button at the top of the main Projects area.

To create a new project template from an existing project, click the 3 vertical dots to the left of the project's name, then choose Save as template.

Enter a name for the new template. By default, saved templates do not remember the responsible parties for tasks within the template, on the assumption that you will assign the responsible parties each time you utilize the template. If you would like the saved template to remember the responsible parties from the original project, click the checkbox next to Save responsible parties with template. Click Save Project Template.

When you save a project template, the following items (if used) will be saved:
  • Project name
  • Task names in the proper order, with indentations
  • Task descriptions
  • Task categories
  • Task durations
  • Task work
  • Task dependencies
  • Show on calendar
  • Whether or not tasks have dates and, for those that do have dates, the relative position and spacing of those tasks
Templates can be also be created from scratch (using the Add Template button at the top), edited and deleted from the Project templates page (referenced at the beginning of this article), in the same way as other projects in the main Projects area.
Once saved, dates present in project templates are shown only for their relative spacing of tasks; specific dates for new projects will be determined based on a specified start/end date when the template is used to create a new set of tasks.
Edits made to templates only affect new projects created using the revised template (previously created projects are not affected).

If you have previously saved project templates, these can be used to insert tasks into a new project.


Creating Projects from Custom Templates

To create a new project from a custom template saved by your team, click the blue Add Project button at the top of the Projects module and select the first project creation option, Use your existing templates.

Simply select the desired template and choose to deploy it from a start date or end date, or choose to deploy it with no dates. Optionally, select the "Repeats" option to have this project be automatically be regenerated as a new project on a regular basis. Click Save and add tasks to create a new project from that template. One the project is created, it can be modified just like any other project.
